1. Nature of Agency & Acceptance of Agreement
Welcome to TravelOne. By booking a flight, contracting visa advisory services, purchasing an Umrah package, paying a booking deposit, or using our online resources, you confirm that you have read, understood, and irrevocably agreed to be legally bound by these Terms of Service.
TravelOne acts as a professional intermediary and authorized facilitator connecting clients with sovereign foreign embassies, consulates, international airlines, hotel operators, and licensed transport contractors. We provide consulting, documentation vetting, appointment scheduling, and ticketing facilitation.
2. Sovereign Embassy Discretion & Visa Issuance Disclaimer
The decision to grant, delay, or refuse any visa or travel authorization is the sole, exclusive, and sovereign prerogative of the respective foreign government, embassy, or consular officer.
TravelOne provides advisory, document verification, application formatting, and appointment scheduling support. Under no circumstances does TravelOne guarantee visa approval, nor does any staff member possess the authority to influence consular adjudications.
- Non-Refundable Visa Fees: Consular fees, embassy processing tariffs, VFS/Gerry's appointment fees, and TravelOne consultancy handling fees are collected for work executed and are strictly 100% non-refundable regardless of whether the visa is granted, rejected, or delayed.
- Embassy Processing Delays: Processing durations quoted by TravelOne (e.g., 10-15 working days) reflect average historic consular timelines. Foreign consulates reserve sovereign rights to require administrative processing or extensive background verification without prior warning. TravelOne bears zero liability for travel plans interrupted by embassy processing delays.
3. Client Obligations & Document Authenticity
Clients must furnish completely genuine, valid, and unadulterated documentation. You explicitly warrant and agree that:
- Your passport has at least six (6) months of remaining validity beyond your planned return date and contains sufficient blank visa pages.
- All bank statements, salary certificates, tax returns, employment contracts, and business letters provided are genuine and verifiable with issuing institutions.
- You have accurately disclosed past visa refusals, deportations, criminal convictions, or overstays for any jurisdiction worldwide.
Presenting forged or altered financial statements or fake employment letters constitutes a severe crime under both local and international laws. Submitting fraudulent paperwork will result in immediate termination of services without refund, and applicants will bear total personal liability for embassy bans, blacklisting, or statutory penalties.
4. Flight Ticketing, Airline Fare Rules & Baggage
Flight bookings issued through TravelOne are subject to the International Air Transport Association (IATA) regulations and specific airline fare conditions:
- Name Accuracy: Passenger names on flight tickets must match the machine-readable zone of the traveler's passport exactly. Airlines strictly prohibit ticket transfers, and name change corrections frequently entail severe re-issue penalties or new ticket purchases.
- Airline Schedule Changes & Cancellations: Airlines retain full operational autonomy over flight timings, aircraft substitutions, transit layovers, and schedule retimings. TravelOne is not liable for incidental hotel or ground transit costs arising from airline operational irregularities.
- Baggage Allowances & Check-in: Baggage limitations are determined solely by the operating airline. Passengers are responsible for arriving at the airport 3 to 4 hours prior to international departure.
5. Umrah & Hajj Pilgrimage Regulations
Pilgrimage packages are administered under the regulatory frameworks of the Kingdom of Saudi Arabia (Ministry of Hajj & Umrah) and local civil authorities:
- Nusuk Portal & Electronic Permits: Pilgrims must comply with app-based time-slot registrations for entering the Rawdah Shareef in Madinah and performing Tawaf.
- Hotel Proximity & Room Categories: Quoted walking distances (e.g. 200m from Haram boundary) are measured from the outer courtyard boundary. Quad, triple, and double room configurations are allocated strictly per package tier.
- Ground Transportation: Private or sharing transport itineraries between Jeddah, Makkah, and Madinah operate according to schedule. Unannounced deviations by pilgrims may forfeit assigned transport.
6. Holiday Tours & Hotel Accommodations
Standard hotel check-in time across worldwide destinations is typically 14:00 - 15:00 hours, and check-out is 11:00 - 12:00 hours. Early check-in or late check-out is subject to hotel room availability and may require supplemental tariff fees.
Guided group tour departures adhere to strict timetables. Missed sightseeing transfers or excursions due to passenger tardiness are non-refundable.
7. Quotations, Pricing & Payment Terms
Prices quoted on our website or promotional brochures are subject to availability and currency exchange fluctuations until formal ticket issuance or booking voucher generation.
- Payments must be deposited via official company bank transfer, crossed cheque, or verified credit/debit transaction with official TravelOne digital receipts.
- We never ask clients to deposit corporate package funds into unverified private accounts.
8. Cancellations, Reissuance & Refund Policy
Refund eligibility is governed by supplier policies:

10. Governing Law, Dispute Resolution & Contact
